General
An on-site technician will be present with both our 360 booth and photo booth. He or she will operate the booth for the duration of your service agreement. The booth may close for 1 brief 15 restroom break during the first 3 hours. After this period, the booth can either be closed or left to run autonomously for 30 minutes (at the discretion of the booth technician) to allow for water, food, or a bathroom break.
It is the client's responsibility to check with the event space before reserving a booth to ensure there is adequate space to accommodate the booth you wish to utilize, and to ensure that any props required are usable in your space.
Extending Service
It is important that you reserve all the time needed for your event at the time of your reservation. Our rates for unreserved time are higher than for reserved time and discounts are only applicable to reserved time. You may amend the original service contract to increase/decrease service time up to one week prior to your event date. Our ability to allow additional unreserved time is based on several factors including staff availability. For clients outside of Regina, please also see our Travel section, as this section will apply to you by default.
Considerations
Certain props may leave or produce a “residue” when used for short and extended periods, particularly in smaller, enclosed spaces. This residue poses a risk to both guests and our equipment. This risk is reduced when these types of props are used in an open, well-ventilated area. Due to these potential hazards, the following props require approval from your venue of service prior to use. If this approval is not obtained, the props will not be allowed during your service, though a reduced fee may still apply for the equipment rental.
Restrictions
There are no age restrictions for using our booth; however, guests under the age of 12 must be accompanied by a guardian who is at least 16 years old. While there are no weight restrictions, the girth of each participant will impact the number of guests that can simultaneously use the booth.
Safety
A risk of injury is always present with the use of large and heavy equipment. This is especially true for objects that are controlled by machines. Our specialists have been trained to spot and resolve some structural and software issues with our booths. Due to the risk of serious injury, no one is allowed inside the booth area without the presence of one of our trained specialists. We reserve the right to shut down the booth due to safety concerns, including but not limited to weather, environment, and guests. Our specialists will consult with you prior to any early termination. Your guests are expected to accept direction given by Full Circle Studios representatives while they are using or are near our equipment. You agree to accept full responsibility for all damages to our equipment caused by your guests.
Your Privacy
Full Circle Studios reserves the right to publish photos of your event (including guests) for the purpose of marketing and advertising. All photos are maintained for up to 14 days after an event. Occasionally we will keep some or all images/videos from an event for an indefinitely. These images are used for promotional purpose only and will never be traded, sold, or used for compensation of any kind without your prior notice or consent. We reserve the right to publish photos from your event unless we receive notice in writing that includes the statement “I do not give Full Circle Studios the right to my photos.
Travel
For events requiring travel outside of Regina, the following travel expenses will apply and are outlined as part of this agreement:
1. Mileage:
For events located outside of the Regina Saskatchewan city limits, a mileage fee will be charged. The service charge includes round-trip travel.
2. Transportation:
In the event of a client cancellation, all travel cost (e.g., rental cars, taxis, or ride-sharing services) accrued will be billed to you the client at cost. Please see our cancellation policy for details.
3. Overnight accomodations:
We require overnight accommodations for all events that are more than 1 hour outside of the Regina, Saskatchewan city limits and whose service time ends at or later than 6PM. Proof of arrangement and cost of hotel accommodations must be settled by the client no later than 48 hours prior to your service start time. No exceptions.
Cancellations
We understand that plans can change. To ensure we can accommodate all clients, here are our cancellation terms:
• Cancellations made 14+ days before the event: Full refund, minus a $50 administrative fee.
• Cancellations within 7-13 days of the event: 50% refund of total booking fee.
• Cancellations within 6 days or less: No refund; full payment is required.
• Custom items purchased on your behalf: 100% non-refundable. Refunds will not be issued for this portion of your reservation.
• Payment: Any fees assessed due to cancellation must be paid in full no later than the day of the scheduled event.
Payment
We accept, cash, e-Transfer, PayPal, and check. Full payment must be received and cleared prior to the start of your service. A $50 fee will be assessed to all returned checks and $10 per $200 of the amount billed (including late fees) per day for outstanding balances until paid in full. You agree to pay the amount quoted for service prior to the date of service. Any extension made to your service less than 48 hours before service will be charged at our regular rate. No discount is honored for extentions beyond your service period. These rates apply to any time that extends beyond the initial service agreement. In some circumstances, the original service agreement may be required to be paid-in-full before any extensions can be considered and approved. Onsite extentions are based on availability of our staff and there for extentend service is not gauranteed.
Refunds
Full Circle Studios will issue a refund without question for any event canceled due to a natural disaster at or near your event. Your refund will take up to 5 business days to process. We reserve the right to shut down the booth due to safety concerns with the equipment, unsafe weather conditions, and/or customer misuse of equipment.
